Business Support Administrator

Place of work

Normal work will be hybrid, with a minimum of two days a week in Toronto near the intersection of Yonge St and St Clair Ave, with occasional work being done at our Research and Development lab near the intersection of Wilson Ave and Keele St.

 

Key Responsibilities:

Human Resources:

  • Assist with recruitment processes, including posting job openings, screening resumes, and scheduling interviews.
  • Actively participate and lead team through the interview(s)process, including follow up with applicants
  • Aid in the development of policies and procedures.
  • Support onboarding and training programs for new employees
  • Coordinate employee engagement activities and events.

Finance (Bookkeeping):

  • Aid other administrators or coordinators entering Accounts Payable.
  • Aid others in the entering of Accounts Receivable
  • Maintain administrative function of the Project Module
  • Aid Controller in the completion of reconciliations, including Ad Hoc Variance & Budget Analysis.

IT Administration:

  • Coordinate with IT provider to set up, administer, technical support and troubleshoot, being proactive in the resolution of user-based IT issues.
  • Coordinate meeting schedules, manage calendars, and perform administrative updates to company software to maintain data integrity and accuracy.

Health and Safety Development:

  • Collaborate with the health and safety team to develop and update safety policies and procedures.
  • Coordinate and assist with the creation and dissemination of health and safety training materials.
  • Complete reports on health and safety incidents and ensure proper documentation.

General Office Support:

  • Coordinate office and laboratory supplies, deliveries ensuring availability of supplies, as needed.
  • Coordinate maintenance and repairs for office and labratory facilities. Liaise with suppliers to ensure the proper functioning of equipment and arrange maintenence for non-operational equipment or facilities.
  • Provide administrative support to various departments as needed.
  • Prepare various ad hoc forms, including Annual Returns, Meeting Minutes, Statutory Declarations, and Shareholder or Partner Resolutions. Liaise with Legal Counsel to coordinate individuals in the completion of the organization's legal obligations.

Qualifications:

  • Certificate or Diploma in Business Administration, Human Resources, Finance.
  • Proven experience in a similar support role.
  • Strong organizational and multitasking skills.
  • Excellent communication and interpersonal abilities.
  • Proficiency in Microsoft Office Suite.
  • Attention to detail and problem-solving skills.
